Design-led AI implementation for service firms of 10 to 80 people

Redraw how your firm works. Then build the AI into it.

Redrawn starts with your org chart, your people, and last week’s actual work. We redraw who does what and how the work moves, then build AI into those new flows alongside your team. The same people, doing clearer work, with a lot more of the week back.

The week as it runs

The same five points on one clear line. One point is marked as an AI first pass and one as a decision a person makes. AI first pass A person decides

The week, redrawn

01

Who it’s for

Service firms of 10 to 80 people that sell expertise, where the week is full of the same messy work and the org chart no longer matches how work actually moves.

Agencies, design and brand studios, architecture and interiors practices, consultancies, accounting firms, and small law firms all tend to run this way. The work is document-heavy, full of reviews and handoffs, and delivered through people who are very good at what they do.

AI could take a real share of that week. Most firms try by buying a tool, holding a workshop, and hoping. The tool lands on top of the old week and quietly dies. The roles and the flows never changed, so nothing else did either.

It probably sounds familiar if

  • A founder still writes first drafts that someone else could start.
  • Senior people redo work that a junior person already touched.
  • Status lives in inboxes and heads, so someone spends the week chasing it.
  • One person is the search engine, and things stall when they’re away.
  • The same numbers get typed into more than one place.

How it works

Four steps, always in the same order. Each one stands on its own, and you decide on the next only after you’ve seen the last.

  1. 1Free · 45 minutes

    The working session

No deck and no pitch. You walk us through last week’s work, ideally with someone who does it, and together we name three workflows worth rebuilding. Afterwards we send a one-page offer, or tell you plainly that it isn’t a fit.

  2. 2$15,000 · 1.5 to 2 weeks

    The Operating Picture

You give us your org chart, what each person actually does, and the flows you already run. We give back a new org chart, the flows redrawn, and a stop / start / now-with-AI line for every person.

  3. 3$30,000 · 3 to 4 weeks

    The Sprint

We build up to five flows from your Picture in your own tools, run them on live work, fix what breaks, train the people in those seats, and leave a playbook. It’s sold separately, only after a completed Picture.

  4. 4From $500 a month

    Support

Tools change, models change, and people join. If you want, we stay on to keep the new flows running and in use, at a fixed monthly price. If you’d rather run it yourselves, the playbook is built for that.

03

What you get from the Picture

The Operating Picture is a drawing of your firm as it could run: the same people in clearer seats, with AI written into the work where it helps and a person still deciding where judgment matters.

What you give us

  1. Your org chart. Who reports to whom, with names. If there’s no drawing, we sketch it together.
  2. What each person actually does. Last week in their own words, what only they know, what they wait on, and what they redo.
  3. The flows you already run. Intake, proposals, production, review, billing. A whiteboard photo is enough.

Incomplete is fine. It just has to be real.

What you get back

  • A new org chart. Every seat says what it owns.
  • Your flows, redrawn. Who owns each path, where AI does the first pass, and where a person still decides.
  • A line for every person. What they stop, what they start, and what they now do with AI.
  • A before-and-after view, so leadership can see the change at a glance.
  • A shortlist of up to five flows to build first, and why.
Example

The drawings below are an illustration using a made-up 14-person brand studio. It is sample data to show the shape of the work, not a client.

Before The chart on the wall

Example org chart before: a flat studio where everything runs through the founder Fourteen people. The founder writes most proposals. Two creative directors mix craft and review. Two account leads chase status. The producer firefights. Four designers wait, then rush. The writer is brought in late. The studio manager is the search engine. Two people in ops and billing retype numbers. Dashed lines show work actually moving back to the founder and the studio manager. After Same people, clearer seats

Example org chart after: the same fourteen people in clearer seats, with the producer owning the flow of work The founder moves to pursuit and taste. The two creative directors split into craft and the review path. The producer owns the flow. The account leads own client decisions. Under the producer sit the designers and writer, who direct and finish; the studio manager, who runs the playbook and library; and ops and billing, who handle exceptions and money. Redrawn One flow, inquiry to invoice

Example redrawn flow from a new inquiry to the invoice An inquiry comes in. AI prepares a first-pass intake pack. An account lead decides whether the work is right for the studio; if not, a polite no goes out. If yes, AI drafts a proposal from past wins. The founder sets the price and the promise. The producer opens the path at kickoff. Designers and the writer direct while AI drafts. A creative director signs off on the review path. The work is delivered, and the job feeds the invoice with no re-entry. no yes Inquiry comes in Intake pack AI does the first pass AI Account lead Is this ours? In a real Picture there is one line for every person, by name. A few from the example studio:

Pricing

Fixed prices, published here and held. If your firm is bigger or the work is messier than these limits, you get a new quote before anything starts, never a quiet overrun.

It stands on its own. You can take it and act on it yourselves.

Step two

The Sprint

$30,000 fixed

3 to 4 weeks

  • Up to 5 flows from your completed Picture
  • Built in your own tools and run on live work
  • The people in those seats trained on real work
  • A playbook for each flow, with a named owner

After the Sprint

Optional monthly support, so the flows keep working as tools, models, and people change.

Keep It Running

$500 a month

We watch the flows we built with automated checks, alert your flow owner and us when something fails, send a short monthly status note, and keep access lists and documentation current. Fixes are billed hourly, only when you approve them.

Keep It In Use: Core

$2,500 a month

Upkeep of the built flows, a monthly working check-in with your flow owners, and a small bank of hours for improvements and training new hires. We also keep your Picture current as people change.

Keep It In Use: Plus

$5,000 a month

Everything in Core, with more hours each month and a written usage review. It suits firms that are hiring, changing quickly, or running more flows.

Picture Refresh

For clients who took the Picture only

$2,500 a quarter

A quarterly session to update your org chart, per-person lines, and flow drawings as the firm changes, with a short note on what changed and what to consider next.

Extra hours beyond any plan are $250 an hour, agreed in writing before the work starts.

05

What it isn’t

Not layoffs

The Picture keeps the same people with clearer roles. We sell time back and cleaner work. If the goal is fewer names on the chart, we aren’t the right help.

Not a slide deck

There’s no 40-page AI strategy. You get drawings your team can use on Monday and, if you go on to the Sprint, flows that run on real work.

Not tool shopping

We don’t pick a vendor and walk away. We start with the work and your existing tools, and choose anything new for the flow, never the other way round.

06

Questions

What happens in the 45-minute session?

It’s a working meeting, not a pitch, and there are no slides. You walk us through last week like we’re a new hire, and we ask where the time went, what waits on a person, and what gets redone. We sketch your org as you describe it. By the end we’ve either named three workflows worth rebuilding or agreed that now isn’t the time. It’s free.

Who from our side should be there?

The owner or whoever makes the call, plus at least one person who actually does the work. The session goes much better when someone can describe last week from the inside.

What if it isn’t a fit?

We’ll say so plainly and won’t leave a proposal behind. If the week and the org get clearer later, we’re glad to try again.

Do we have to buy the Sprint after the Picture?

No. The Picture stands on its own, and some firms will act on it themselves. The Sprint is a separate decision you make after you’ve seen the Picture, which is also why there’s no bundle discount.

We have more than 40 people. Can you still help?

Yes, if you’re up to about 80 people. The fixed $15,000 price covers up to 40 people, 8 workflows, and one business. Larger firms, several brands or sites, or more workflows get a clear quote before the work starts.

How long does it take?

The Picture takes about 1.5 to 2 weeks, and the clock starts when your chart, roles, and flows arrive. The Sprint takes 3 to 4 weeks, depending on how many flows we build.

Which AI tools do you use?

Whatever fits the flow and your rules. We start with the tools you already pay for. You decide which AI tools are allowed and what data may go into them, and your data only goes where you’ve agreed in writing.

Will this mean cutting jobs?

Not from us. The Picture keeps the same people and gives them clearer seats. If someone’s old work goes away, they move to work that matters more. We don’t take on work where headcount cuts are the goal.

07

Start with 45 minutes and last week’s work.

Send a short note with your firm, roughly how many people, and one piece of work that always takes forever. We’ll find a time. Bring someone who does the work.
